Evaluating ERP systems

Once your requirements are defined and documented in a Statement of Requirements, the next step is to evaluate ERP systems to find the best fit for your organisation.

Selecting the right ERP system is a strategic decision that goes far beyond comparing software features, and choosing the right implementation partner is just as critical for long-term success. With so many ERP solutions, vendors, and partners in the market, the selection process can feel overwhelming.

The strongest ERP choices are made by evaluating the vendor’s reputation and experience, implementation track record, and ongoing support, alongside system fit, scalability, integration capability, and the total cost of ownership (TCO). By weighing these factors together, you create the foundation for a smooth implementation, faster time-to-value, and sustained operational efficiency.

At Gradient Transforming, we bring together deep ERP market insight, a proven vendor evaluation methodology, and real-world delivery experience to guide you through every stage of ERP selection – from defining your requirements to negotiating contracts with your preferred vendor.

Without a structured expert evaluation, you risk choosing a system that fails to meet your needs, exceeds your budget, or delays your transformation plans.

Evaluating ERP systems

Our proven ERP selection process

Our ERP selection methodology has been refined through years of successful projects across industries and business sizes. It’s designed to remove uncertainty, enable like-for-like comparison, and ensure you choose both the right ERP system and the right implementation partner to deliver it.

  • ERP requirements definition – We begin with collaborative discovery sessions to understand your organisation’s operations, growth plans, and pain points. During the ERP Requirements stage, we create a Statement of Requirements (SoR) that becomes the benchmark for vendor evaluation.
  • Vendor long list and pre-qualification – We identify 10–15 ERP vendors and implementation partners that meet your high-level needs. Each is pre-qualified against essential criteria, removing those that can’t meet your core requirements.
  • Vendor shortlisting – Through a detailed review, we reduce the long list to 4–8 vendors with the strongest alignment to your SoR, industry, and operational needs.
  • SoR scoring analysis and shortlist refinement – Using an objective scoring framework, we evaluate vendors against your weighted priorities, from system functionality and usability to cost, scalability, and partner capability.
  • Structured demos and proposal scoring – We invite the top 2–3 vendors to provide targeted demonstrations aligned to your business priorities. We coordinate all communications with vendors, ensuring every proposal is reviewed, analysed, and ranked against your agreed evaluation criteria.
  • Final selection and commercial negotiation – We support you in final decision-making, guiding commercial and contractual negotiations to secure the best value, terms, and implementation commitments. This stage sets the foundation for strong governance and a smooth transition into the implementation phase – a focus we’ll explore in our Selection Governance & Strategy process.

What drives our vendor evaluation

Every stage of our selection process is anchored in your agreed ERP requirements, as captured in your Statement of Requirements (SoR). This ensures every vendor is assessed against the same priorities, creating a fair, evidence-based comparison.

Gradient’s ERP vendor evaluation service compares solutions against your requirements, budget, and priorities – giving you the confidence to choose the right partner.
