Helping two co-owned construction suppliers select a shared ERP system for growth.

The client

Today, KaydeeSayfa Ltd is a specialist supplier to the construction industry, created in 2022 through the merger of two long-established, industry-leading businesses: Kaydee Blinds and Sayfa Systems.

Back in 2015, when Gradient carried out this project, Kaydee Blinds and Sayfa Systems operated independently but shared ownership and senior management.

Kaydee Blinds was a Midlands-based supplier of commercial blinds and Sayfa Systems provided working-at-heights safety systems. Together, they employed 35 people and served construction projects across the UK.

At that time, Kaydee’s ERP system was no longer fit for purpose, and Sayfa’s rapid growth was increasingly restricted by the lack of integrated systems. Their leadership team recognised the need for an ERP selection project that would identify the right system to support both businesses’ requirements and provide a scalable foundation for future growth.

The solution

Gradient led the project teams for both companies through a structured selection process, including:

  • Documenting current processes and defining specific operational and strategic requirements.
  • Producing a comprehensive specification document to capture needs across both businesses.
  • Researching and inviting suitable suppliers to participate in the process.

The approach

Gradient’s approach combined onsite engagement with rigorous vendor evaluation:

  • Discovery workshops: Three days onsite to capture detailed requirements and understand business processes.
  • Specification document and vendor engagement: Translating requirements into a specification document, issued to carefully researched suppliers.
  • Demonstrations: A Shortlist of three vendors provided structured demonstrations, followed by further in-depth sessions to assess functionality.
  • Validation: Reference site communications and vendor HQ visits ensured confidence in both product and supplier selection.
